| Shared Notebook deletes sections on its own We have the release version of Onenote 2007 installed and are seeing a very vexing problem with shared notebooks. Onenote appears to be randomly deleting section files shortly after they are created. In their place is an indecipherable name.onetemp file that only has a portion of the notes that were created in that section. There are three to four users who have this notebook sync'ed on both their desktops and laptops. The users have lost important meeting notes due to this problem and I can't find any reason for this to occur. We are using group policies to deploy some adminstrative policies (eg. onenote backup location and frequency). But the backups don't have copies of the missing files either. They only define the backup location (another network share) and the number of backups to keep. Related to this issue, one user has a personal notebook shared between a desktop and laptop. The section was called Voice Mail.one. Onenote deletes the section, creates a temp file called 049CCEE7-FE8E-435C-AE8D-CC049B568E3C.onetemp, and then won't let the user change the name. The user can change the extension to .one and mount the section. But when he trys to change the name back to voice mail, there is a pause and the name reverts back to the above. This occurs even after he closed the notebook and exited onenote. If Onenote sync conflicts with FRS, how can that be resolved? We have two office locations that need access to the same project data, including notebooks. FRS is file based, so you are essentially forced to only have one location write to a section at any point in time. Don't think this kind of scheme would work across two locations. Do you have the bandwidth to let people open their notebooks directly from one server and not use FRS? The store on the replicated server is currently not being used. I have the active store set as master and no changes happen on the replicated server. So I do not understand how FRS could be removing the onenote sections. Unless I missed something in my replication settings. | Re: Shared Notebook deletes sections on its own The idea of two different replication mechanisms working on the same files doesn't sound stable to me. I'd seriously switch off FRS for that particular network share and then see if you can't get ON synch to be stable with FRS turned off. Depending on how many users you have in your second office, ON synch might actually consume less bandwidth than FRS (after the initial sync). Keep in mind that FRS has to synch the full section file (which can be pretty big) while ON sync only has to synch the individual changes in each section. I'd do the following: - create a dedicated network share for ON notebooks and store all of them there - exclude that share from FRS - if appropriate, set permissions so that users in your second office only have read permissions on it. This way, they can see all the notebooks, annotate them on their own machines, but none of the annotations they make will be reflected in the actual notebooks - open the notebooks directly via the network share over your remote link. This will cost you big time for the initial sync, but should benefit you in terms of day-to-day traffic - Set the sync interval for the second office to something high (at least 10 mins). The default for a network share is 3 seconds. | Re: Shared Notebook deletes sections on its own The *.onetemp files you were seeing are created by OneNote's background optimization. OneNote would create a copy of section and optimize it. If this goes without errors OneNote will try to replace the original section with the optimized copy. The replace is done using single Win32 API, but this API actually performs a few steps, including deleting the original section and then renaming our temp file to the correct name. OneNote should be locking the files at this point so nobody else can access them for write, but I don't know how much FRS respects the locks so it might interfere with the final step of renaming the section. Now, imagine you have two users working on the same section. Joe is actively adding new content and Mary's machine is idle so, before getting down Joe's changes, her OneNote attemps optimize. When optimize is almost complete it runs into a problem with FRS so *.one file seems to be removed. The *.onetemp file contains Mary's version of the section without Joe's changes. If now Joe goes to the share and renames onetemp to one, it seems that all his changes are lost (before rename, the section should have moved on his machine into Misplaced Notebook, his changes still in it, but now it will be restored in the original notebook but might be synchronized back to Mary's copy, losing the changes forever). All in all, I'd join the chorus and recommend you not to use any other sync mechanizms for OneNote Notebooks. But do consider additional backups on top of OneNote provided ones. The points to consider might be: 1. OneNote's backup is created from the cache, so it will contain user changes even if they haven't been uploaded to the server, but you'll have a complete mess if different users backup to the same storage location. Backup of the server storage will save whatever is currently in the file system. 2. OneNote's backup doesn't discriminate between notebooks - all are equal.
